Hotel Coordinator

Daily Functions of this Position:

  • Contacting insured family and confirming information to book family into a hotel.
  • Searching for hotels using Hotel Database/Internet & confirming with family if a hotel is acceptable.
  • Calling hotel directly or using online booking tools to secure reservation for insured families.
  • Updating details of hotel reservations.
  • Calling insured family with hotel confirmation
  • Calling Hotel to confirm hotel received necessary paperwork for the insured to check in.
  • Calling Hotels and confirm check in and checkout statuses of all families assigned.
  • Preparing files for insured families and organize all necessary paperwork in the file.
  • Setting tasks for yourself in regards to check-out, paperwork, extensions, and folios.
  • Calling on any family extensions daily on assigned files.
  • Performing all necessary file maintenance such as extensions, relocation requests, call aheads, etc.
  • Communicating via email to all necessary staff as needed.
  • Assisting in answering Hotel Department phones.
  • Maintaining customer files – computer and manual files.
  • Helping out with after hour hotel phone calls as assigned for one week.
  • Other duties as assigned

Basic Knowledge and Skills

  • Two years of customer service experience.
  • Proficient in Microsoft Office Products.
  • Database experience a plus.
  • Candidates should have excellent verbal & written communication skills, be very organized, have strong problem-solving skills, ability to multi-task, and be a team player.
  • Attention to detail and accuracy are critical skills for this position.
